Minutes of 3/17/08 SSHBEA Board of Director Meeting

At 7:02P.M. on March 17, 2008 , Mack Motes called the SSHBEA Board of Directors meeting to order and asked Janice Higgins to call the roll.  All were present except Tamara Sullivan, Maude Hopkins and Shane Hartwig who had all notified the office of their absence.  Mack then asked Janice to read the minutes of the last meeting.  She did so and Sis Osborne made the motion to approve, Don Woodson seconded, motion passed.  Janice then read the minutes of the Special Called March 11 meeting.  Sis Osborne made the motion to approve these minutes also, Linda Bedwell seconded, motion passed.

Mack all committee chairpersons to turn in a list of their committee members to the office and Janice Prince would mail to the board members before the next meeting.  Mack reported Travis Kelley had accepted the position of chairman of the Hearing Committee.  Kim McMahan made the motion to approve Travis, Roy Franklin seconded, motion passed.

After lengthy discussion and due to the fact that our fall show date is the same week as the Racking Horse show, the International and our 1st Saturday night is the last Saturday night of the other spotted association’s fall show, Sis Osborne made the motion to change our fall show to the original date ending the 1st Saturday night in October.  Benny Lance seconded, motion passed with 11 yes votes and 3 no votes.

Roy Franklin made a motion to allow phone polls of the SSHBEA Board of Directors, but no business can be transacted by the poll and every member must be contacted.  Motion rescinded.   Ronnie Sapp made the motion to allow the poll, but business can only be transacted at a board meeting or special called meeting, Don Woodson seconded, motion passed.

In regard to the business of the special called board meeting last week a letter had been sent and they had extended the deadline date from the 17th to the 24th.  The lobbyist, Mr. Hawk had asked that we be able to continue with the Operating Plan ’09 because it had already been signed.

Mack turned the floor over to Aaron Crafton.  The financial committee had been working on the budget.  Aaron asked the board to think about changing the fall show to 6 nights instead of 8 – this would save us approximately $11,000 (this saving estimate includes only using 3 judges instead of 5).  Other suggestions made by the financial committee were, raise the sponsor fee of the belt buckles to $100, raise the entry fees 25%, cut the show payback in half (on spring & fall shows & sport horse events).  Another suggestion was to not sell corporate sponsors (it appears we are losing money on them).  A thought was to sell class sponsors or banner sponsors like Sport Horse does.  Bob Wright made the motion to use only 1 judge at the spring show, motion died due to lack of a second.  Freda Bullard made the motion to use 2 judges and have them draw for classes and use 1 SSHBEA judge and 1 commission judge.  Sis Osborne seconded, motion passed.  Linda Bedwell made the motion to change the spring show to 2 nights instead of 3.  Sis Osborne seconded, motion passed.  A suggestion was made to sell complete night ribbon sponsors.  A suggestion was made if a judge does something wrong the 1st night we need to replace him and inform the judges that this would happen.

Dickie Gardner made the motion to allow Phil Dunivan to have a horse sale in the inside warm-up area on Saturday morning of the spring show and pay us $1300.  Kim McMahan seconded, motion passed.

Dickie Gardner made the motion to raise the entry fee by $5 for the spring show and leave the prize money the same.  Dickie suggested that we have someone working the back door of Calsonic Arena at our shows.  The show committee is in charge of working on this.

Doug Herring made the motion to cut the Fall Show to 6 nights instead of 8.  Linda Bedwell seconded, motion passed.   Don Woodson made the motion to use 3 judges instead of 5 at the fall show and have at least 1 alternate (not paid unless used) on stand-by.  Sis Osborne seconded, motion passed.  Ronnie Sapp made the motion to add $5 to the entry fee and leave the prize money the same for the Fall Show.  Dickie Gardner seconded, motion passed.  Roy Franklin made the motion to sell the belt buckles for $100, and give 2 passes with them.  Gordon Hirschi seconded, motion passed.   Belt buckles may be presented by the sponsor in memory of or as a tribute to someone or something.

Freda Bullard made the motion to approve the following SSHBEA judges recommended by the judges committee.  Phil Dunivan, Dwayne Sullivan, Billy Murray, Derek Myers, Don Woodson, Chantel Winnett, Barney Davis, Travis Kelley, David Oliver, Harry Dean Hobbs, Bobby McDaniel, Roy Franklin, Kim McMahan seconded, motion passed.  Sis Osborne made the motion to approve the 1 commission judge, Connie Waldo, Don Woodson seconded, motion passed.   Mention was made about Barney Davis being on suspension, Mack reported he had turned in his Anger Management certificate to the office.

The next item of business was drawing for the spring show judges.  The 1st several on the list are Grandy Tuck, Terry Stone, Derek Myers, Jennifer B. Davis, Roy Franklin, Ronnie Sapp, Jerry Thatcher and Bill Murray.

The Trail Pleasure committee had 3 more rule additions/changes to present.  (see attached).  Ronnie Sapp made the motion to make rule 19.6b read “An Exaggerated gait ie. breaking to the bottom of the knee or above, excessive reaching and or pointing in front,  twisting, squatting, wringing of the hocks, crampy or gimmicky way of going must be excused”.  Janice Higgins seconded, motion passed.  The presentation for 19.6d was dismissed.  Ronnie Sapp made the motion to make rule 19.5c read “Paint and/or metal shall not be allowed on the bottom of the foot.  Janice Higgins seconded, motion passed.
