Minutes of the March 9, 2009 SSHBEA Board of Directors Meeting

At 6:55PM on March 9, 2009 , Mack Motes called the SSHBEA Board of Directors meeting to order and asked Janice Higgins to call the roll.  All were present for the meeting except Cindy Haley, Shane Hartwig, Linda Bedwell & Dickie Gardner who had all notified the office of their absence.  Mack asked Janice Higgins to read the minutes of the January 9 & 10 meetings – due to time they were bypassed at the February meeting.  Sis Osborne made the motion to approve the January 9 minutes, Freda Bullard seconded, motion passed.  Bob Wright made the motion to approve the January 10 minutes, Roy Franklin seconded, motion passed.  The February minutes had been mailed and Benny Lance made the motion to approve those, Holly Sanders seconded, motion passed.

Mack reported that James Abernathy is the chairman of the Trail Riders committee again this year.

Mack gave all members a very detailed chart showing the path that horse inspection would follow if the USDA is present at shows.  All horses will be subjected to the thermography machine and be swabbed. If the horse is normal he will then be inspected by the DQP.  They may also be subjected to the hoof tester.  If a violation is found or not, the USDA can inspect the horse if they choose. The horse owner/exhibitor can choose to take your horse back to the trailer if your horse does not check normal with the machine.  Leg wraps must be off the horse 2 hours before taking them to inspection.   Mack will be attending a HIO meeting in Nashville tomorrow – March 10.

Ronnie Sapp made the motion to approve the Celebration contract for 1 year.  Benny Lance seconded, motion passed.   This applies to the year of 2010.

Sis Osborne made the motion for SSHBEA to confer with PWHAT and try to work out a deal where they would use our DQP’s for their shows.  Freda Bullard seconded, motion passed.

Roy Franklin made the motion to allow the fireworks stand to set up on our property for the July 4th time frame for $1000 again this year.  Ronnie Sapp seconded, motion passed.

Sis Osborne made the motion to give the 4-H $500 this year.  Freda Bullard seconded, motion passed.

Next Aaron presented the financial report.  We are $13,000 in the red but the good news is the negative figure is less this month than last.  Mr. Herring is going to put a committee together to work on our membership.  Sis Osborne made the motion to approve the financial report, Freda Bullard seconded, motion passed.

Danny Davis was present to ask approval for recommended judges.  They are Richard Wall, Wayne Abee, Holly Sanders, Jennifer Bingham & Lynne Levy.  Mack reported an incident with Wayne Abee at the Celebration last year and thought we should not approve him, everyone agreed.  Doug Herring made the motion to approve the other recommended judges excluding Abee.  Freda Bullard seconded, motion passed.

Ronnie Sapp made the motion to approve the class sheet with the Ladies Auxiliary class being changed to Traditional Trail Pleasure.  Sis Osborne seconded, motion passed.

Sis Osborne made the motion asking her proposal concerning the Tobiano registration procedure be approved.  Bob Wright seconded, motion passed.  (See attached)

Roy Franklin discussed the email he sent out about using pads on our horses to protect the frogs of their feet.

After discussion Roy Franklin made the motion to allow Mr. Hirschi to participate in some of the monthly board meetings by speaker phone.  Ronnie Sapp seconded, motion passed.

Roy Franklin made the motion to approve a $50 donation to the Colorado NW Community College.  Ronnie Sapp seconded, motion passed.  Mr. Hirschi is getting a program (riding camps) set up involving SSHBEA horses with this college.

Mr. Hirschi is working with a California group getting a SSHBEA club set up.   We would advertise and promote for them.

Janice Higgins asked for approval of the Saturday morning Sport Horse event during the Spring Show.  Ronnie Sapp seconded, motion passed.

Janice Prince reported the only date Calsonic has available for the mid-season show is July 17 & 18.  The 18th is a show date for the other spotted association.  The Ladies Auxiliary show has always been the 3rd week in August – this is also listed as a show date for the other association.  Mack asked Benny Lance to talk to Dwayne Cawthon about the issue and try to work something out.

We also had a proposed re-vamp of the High Point program.  It was decided there was not a problem with the High Point , but the Horse of the Year program needs to be looked at.  Janice Prince is to send the board members a list of the Horse of the Year categories and list how many entered in each.   Mack recommended to cut out the year long Horse of the Year program and select a few more categories to be nominated  for and voted on at the annual meeting.  This will be discussed again at the next meeting.

Janice Prince asked the board if we were going to have our annual meeting at the office and the Celebration grounds like we did this past January.  The answer is yes – she is to let Peggy Moore know.

Robert Morgan was introduced to address the corporate sponsors as chairman of that committee.  Kim McMahan had asked Roberts committee to take on the Mid Seasons show also.  Robert is worried that it will be a very difficult task.  Mack suggested reducing or eliminating the price money at the Mid Season show.  Sis suggested if we cut the prize money out totally, increase the points earned for the High Point program at that show.

Discussion of the night time show judge not being able to participate/spectate at a sport horse event on the same day came back up.  Mack said the judges committee should handle this issue.

Bob Wright made the motion to cut down the # of passes given to the $500 corporate sponsors this year at the spring & fall shows to 4 tickets each.  Maude Hopkins seconded, motion passed with 2 no votes – Roy Franklin & Ronnie Sapp.

Ronnie Sapp made the motion to adjourn.  Roy Franklin seconded, motion passed.
